How to Choose Salon Management Software in India (2026 Guide)
Most “best salon software” lists are written for American salons. They compare Stripe integrations and email marketing — while your salon runs on UPI, WhatsApp and a receptionist who bills between customers. Here is what actually matters in India.
1. WhatsApp is not a feature. It is the channel.
Your customers do not open email. They live on WhatsApp — and so do you. Ask every vendor: does the software give my salon its own WhatsApp Business number, onboarded through Meta’s official flow? Or does it send messages from the vendor’s shared number, where one spammy salon can get everyone’s messages blocked?
Then ask the harder question: can the software answer on WhatsApp? Appointment reminders are table stakes. The difference-maker is when a customer asks “kal 4 baje slot hai?” and gets an answer — and a booking — in seconds, without your receptionist touching a phone.
2. GST that files itself out of the box
If the demo cannot show you a GST report for last month in one tap, walk away. You want GST on every invoice, a filing-ready summary, and ITR-ready annual figures. Bonus points if you can ask for the number in plain language instead of finding the right report.
3. Languages — yours, not the software’s
Your staff bill faster in the language they think in. Your customers ask questions in Hinglish, Bengali, Tamil. Software that forces everything through English adds friction at every single transaction. Ask the vendor: how many Indian languages? And does the AI reply in the same script the customer typed — Hinglish to Hinglish, বাংলা to বাংলা?
4. The price should be public
If the pricing page says “Contact sales”, the price is high and negotiable — which means it is unfair to someone. Indian SMB software should state its price. (Ours is ₹849 a month, and it is on the pricing page.)
5. Staff attendance without a register
QR check-in, late marks, leave, and salary calculations that read from attendance automatically. If payroll still needs a separate Excel sheet, the “staff management” checkbox is a lie.
6. Ask what happens after you pay
The single biggest reason salon software fails in India is not features — it is abandonment. Somebody sold it, nobody set it up, and after two weeks the team went back to the register book. Ask: who sets up my services and prices? Who trains my staff? Who do I message when something breaks — a person or a ticket?
At EaseSeat every account gets a named Relationship Manager on WhatsApp. We built the company around that question.
7. Multi-branch that means it
“Multi-branch support” often means “you can pay us twice”. Real multi-branch: one owner login, every branch’s numbers combined or compared, the same customer recognised across branches.
8. Reports you will actually read
Sixteen dashboards you never open are worth less than one WhatsApp message on Sunday that says how the week went and why. Ask to see the owner’s daily experience, not the admin panel.
9. Can you trust the AI’s numbers?
Every vendor now says “AI-powered”. Ask one question: “If the AI doesn’t know a number, what does it do?” The wrong answer is a confident guess. The right answer is an honest “I could not find that”. EaseSeat’s AI is built so every figure is verified against your records before the message sends — it structurally cannot invent a number.
