WhatsApp Business API for Salons, Explained Without the Jargon

Every salon in India already runs on WhatsApp — bookings, “aaj open ho?”, photos of yesterday’s colour. The confusion starts when vendors say “WhatsApp API” and owners nod politely. Here is the whole thing, minus the jargon.

Three WhatsApps, one green icon

  • WhatsApp (personal) — your SIM, your chats. Fine for a one-chair setup, but the business lives inside one person’s phone.
  • WhatsApp Business app — free, adds a catalog and quick replies. Still one phone, one person replying, no automation worth the name.
  • WhatsApp Business API (now “WhatsApp Business Platform”) — no app at all. Software sends and receives messages on your business number programmatically. This is what enables automatic booking confirmations, invoices as PDFs, reminders at scale, and AI that replies when you can’t.

The API is the only version where the system — not a tired human — sends the 7pm reminders.

What it costs, honestly

Meta charges per conversation, and India’s rates are among the world’s lowest. As of recent pricing, a marketing conversation runs roughly ₹0.78–0.88, utility conversations (reminders, confirmations, invoices) a fraction of that, and customer-initiated service chats answered promptly are effectively free. A 1,000-customer salon doing confirmations, reminders and invoices typically spends ₹300–₹800 a month in Meta fees. Marketing blasts cost more — which is a feature, because it makes you think before blasting.

Watch for vendors who mark up per-message fees invisibly. Ask directly: “do I pay Meta’s rates, or your rates?”

What changes for a salon, concretely

  1. Booking confirmation lands the second the appointment is made — no staff effort.
  2. Reminders go out on schedule; no-shows drop measurably.
  3. Invoices arrive as branded PDFs instead of paper that dies in a pocket.
  4. Customer messages get answered at 11pm — by AI, if you have one — instead of at 10am when they’ve already booked elsewhere.
  5. The chat history belongs to the business, not to whichever staff member’s phone it lived on before they quit.

The verification checklist

Getting on the API requires: a Facebook Business Manager account, business verification (GST certificate or similar documents help), a phone number that can receive an OTP, and a display name matching your business. A good software partner walks you through this in under an hour; being a Meta Business Partner means they do this signup officially inside the product rather than through resold third-party access.

What most vendors won’t tell you

Two things. First, quality ratings are real: Meta scores your number on how recipients react. Enough blocks and reports from careless marketing blasts and your messaging gets restricted — nobody can honestly promise a number is immune, whatever the sales deck says. The cure is boring discipline: message people who want to hear from you, about things they care about. Second, templates need approval: marketing messages must be pre-approved by Meta, which takes anywhere from minutes to a day or two. The “instant campaign” demo you saw used a pre-approved template.

Where this fits in a salon platform

The API is plumbing. What matters is what flows through it: your calendar, your billing, your customer records. EaseSeat is a Meta Business Partner and runs the full loop on your own number — confirmations, reminders, invoices, and Ezzy OS answering customers and booking them into your real calendar in the same chat. Setup, template approvals and the verification maze are handled with your Relationship Manager on WhatsApp — fittingly. See how it fits the rest of the platform, or just ask us the awkward pricing questions first.
